Executive Assistant to Chief Legal Officer

Job Description:

Perform a wide-range of duties for the Chief Legal Officer as well as select support of other members of the North America legal team. Responsible for managing highly sensitive, confidential information requiring exceptional judgment and discretion. Qualified candidates will demonstrate excellent interpersonal, organizational, and analytical skills, and be able to manage multiple tasks and deliver high quality results.

POSITION DUTIES INCLUDE BUT ARE NOT LIMITED TO:

  • Proactively manage complex calendar for a global executive, including scheduling meetings/calls across multiple time zones, meeting preparation and organization

  • Coordinate global travel managing details to minimize disruptions and allow for maximum productivity, manage expense reports

  • Effectively prioritize conflicting needs; handle matters expeditiously and proactively, triage correspondence and inquiries following through on projects to successful completion, often with deadline pressures. Manage coordination with other functions and Corporate Leadership Team.

  • Responsible for coordination of all Global Legal Leadership Team (GLLT) and law department meetings - responsible for logistics, meeting organization, agendas and follow up actions

  • Manage and track key department initiatives, service anniversaries and employee recognition - prepare quarterly updates.

  • Coordinate and sometimes lead select department initiatives to promote education sessions, social connectivity and camaraderie.

  • Responsible for tracking department achievements and preparing periodic reports.

  • Effectively work within various legal systems (ie: eCounsel, iManage, Onit, Oracle, etc) to support needs within the department. Ensure success of Document Management System supporting data migration and other responsibilities as assigned.

  • Manage intranet presence (Our World), act as key member of the project team working with Corporate Communications and GLLT to create vision, mission, branding. Update content on an ongoing basis.

  • Perform research as required

  • Continuously demonstrate sound judgment and initiative

  • Exercise the highest degree of discretion when handling confidential matters

  • Build high trust relationships, demonstrating leadership and credibility in all duties performed

  • Participate on law department and business teams in support of Company goals and objectives

  • Other duties as assigned to support the team

  • Bachelor's degree

  • 8-10+ years administrative experience in a large multinational corporation law department, established law firm and/or supportive one or more corporate executives.

  • Proven track record of demonstrating integrity and trustworthiness in handling sensitive and confidential information

  • Knowledge and understanding of legal terms, concepts and principles preferred

  • Ability to prioritize and complete projects and assignments, exercising frequent independent judgment, initiative and tact

  • Demonstrated success in comparable role

  • Willingness to accept increased responsibilities and meet the changing demands of the department

  • Advanced proficiency with contemporary office technology/software, including but not limited to Microsoft Office, Google mail, calendar, drive and function specific software

  • Exceptional written and oral communication skills, including high degree of accuracy with spelling and grammar

  • Excellent customer service skills

  • Ability to work independently or as part of a team

  • Outstanding time-management, organizational and project management skills

  • Strong analytical skills
